Who We Are

Archery GB is operated and administered by the Grand National Archery Society, trading as Archery GB. The Grand National Archery Society is a private company limited by guarantee without share capital, registered with company number 01342150.


Archery GB is the national governing body for archery in Great Britain, responsible for all levels of archery within the UK, from elite to development level. We are the umbrella organisation for the English Archery Association, Archery Northern Ireland, Scottish Archery and the Welsh Archery Association.


Archery GB also operates the website startarchery.co.uk (the "Website").


Archery GB is the controller and responsible for your personal data (collectively referred to as “Archery GB”, “we”, “us” or “our” in this privacy notice).Our Data Protection Champion is Robert Potts and he is contactable at Archery GB, Lilleshall NSC & CC, Newport, Shropshire, TF10 9AT, by phone at 01952 677888, or via email at gdpr@archerygb.org.

 

Information We Gather

Archery GB collects certain personal information (personal data) about you and your child’s/children’s (collectively referred to as “you” or “your”). Some of this personal data may also be used by our affiliated entities, such as local archery clubs, county, regional associations and competition/tournament providers such as World Archery International Federation.

Direct Membership Sign-Up and Club Data Access
Members can now sign up directly for membership. During this process, you have the ability to select which club(s) have access to your personal data. The club(s) you choose to share your personal data with may update your title, postal address, and phone number(s). If your account has not been created yet, the club(s) may also update your email address.

The club(s) may also add or renew your Archery GB membership that you hold with it/them directl or via the membership platform if that is how you choose to work with your club(s), rather than purchase/renew memberships directly with Archery GB only.

Information You Give Us
When you become a member, volunteer, or customer of Archery GB, or when you use our Website or membership system, you may provide us with the following personal data:

  • Identity Data including your first name, surname, date of birth, age category, gender, title and a photograph;
  • Contact Data including your postal address, email address phone number and next of kin details;
  • Financial Data including bank account details;
  • Transaction Data including details about payments to and from you and other details of products and services you have purchased from us;
  • Technical Data including internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, device ID and other technology on the devices you use to access this Website;
  • Profile Data including a bio description on your membership page membership number, bow style, archery qualifications and awards, club and region details.
  • Usage Data including information about how you interact with and use our Website, products and services;
  • Marketing and Communications Data including your preferences in receiving marketing from us and our third parties and your communication preferences.
  • Special Category Data including disability status and ethnicity; and
  • Criminal Offence Data including any information collected from a CRB,DBS and/or PVG check.

We also collect, use and share aggregated data such as statistical or demographic data which is not personal data as it does not directly (or indirectly) reveal your identity. For example, we may aggregate individuals' Usage Data to calculate the percentage of users accessing a specific website feature in order to analyse general trends in how users are interacting with our Website to help improve the Website and our service offering.

 

How We Collect Your Information

We use different methods to collect personal data from you and about you including through:

 

  • You interactions with us. You may give us your personal data by filling in online forms or by corresponding with us by post, phone, email or otherwise. This includes personal data you provide when you:
    • apply for our products and services;
    • create a membership account on our membership system;
    • subscribe to our marketing and communications;
    • enter our and third parties tournaments and competitions; or
    • give us feedback or contact us.
  • Automated technologies or interactions. As you interact with our Website, we will automatically collect Technical Data about your equipment, browsing actions and patterns. We collect this personal data by using cookies, server logs and other similar technologies. We may also receive Technical Data about you if you visit other websites employing our cookies.
  • Third parties. We may receive personal data about you from various third parties including, but not limited to:
    • technical support providers such as Sport80 and 93ft;
    • our business partners, associate bodies and sponsors including, but not limited to, the UK Sports Institute, UK Sport and etrainu; and
    • competition and tournament hosts such as World Archery Federation;
  • Technical Data is collected from the following parties:
    • analytics providers such as Google based outside the UK; and
    • search information providers such as Google based outside the UK.
  • Contact, Financial and Transaction Data is collected from providers of technical, payment and delivery services Stripe, JustGiving and GiftAid based in the UK.
  • Identity and Contact Data is collected from publicly available sources such as Companies House and the Electoral Register based inside the UK.

How We Use Your Information

The law requires us to have a legal basis for collecting and using your personal data. We rely on one or more of the following legal bases:

  • Performance of a contract with you. Where we need to perform the contract we are about to enter into or have entered into with you. If you do not provide us with the necessary information, we may not be able to perform the contract we have entered into with you.
  • Legitimate interests. We rely on a combination of legitimate interest and your consent to process your personal information for various purposes. For instance, when you apply to become a member of Archery GB, we use your information to provide membership benefits and services as explained on the .
  • Legal obligation. We may use your personal data where it is necessary for compliance with a legal obligation that we are subject to.
  • Consent. We rely on consent only where we have obtained your active agreement to use your personal data for a specified purpose, for example if you agree to complete survey.

Information Collected for Competitions and Tournaments
To enable you to enter competitions and tournaments, we will need collect and share information such as membership number, first name, surname, gender, bow style, date of birth/age category, email address, postal address, phone number, club and region details, round, and any relevant disability information. Without this information, we will not be able to enter you into our competitions and tournaments.

We use profiling and screening techniques to ensure communications are relevant and timely, and to provide an improved experience for our members and individuals who we may have a formal relationship with such as Instructors.  Profiling allows us to evaluate and therefore understand our members and individuals who we may have a formal relationship with such as Instructors using appropriate statistical analysis.  We do this because it helps us to make appropriate communications to our members and those individuals who we have a formal relationship with. We do not carry out profiling in relation to children.

 

Information Sharing and Disclosure

We may share your personal data for the purposes set out above with the following selected third parties:

  1. Associate bodies such as the World Archery International Federation, County, Region, and Clubs in order that they may communicate with you regarding archery events only or to allow the associate bodies to manage the running of the sport in their areas.
  2. In addition, we anticipate that we may provide membership information such as email address and membership number to our online retailer, Shopify.
  3. Analytics and search engine providers that assist us in the improvement and optimisation of our Website.
  4. Other providers that assist us in the running of our business including, but not limited to, etrainu and Synergy.

We may disclose your personal data to third parties:

  1. In the event that we sell or buy any business or assets, in which case we may disclose your personal data to the prospective seller or buyer of such business or assets.
  2. If Archery GB, or substantially all of its assets, are acquired by a third party, in which case personal data held by it about individuals who have applied for membership (whether successfully or unsuccessfully) may be one of the transferred assets.
  3. If we are under a duty to disclose or share your personal data in order to comply with a legal obligation (for example to government bodies and law enforcement agencies) or in order to enforce or apply other agreements.
  4. To protect the rights, property, or safety of Archery GB, our members, or others. This includes sharing personal data with other companies and organisations for the purposes of fraud protection and credit risk reduction.

We may share your personal data to the World Archery International Federation for the purpose of entering you into an international-level competition or tournament. This will mean we will transfer your personal data outside the UK. We will share your personal data on the basis of performance of a contract (to provide World Archery International Federation with the minimum required personal data to enter you into a competition or tournament, for example your name, date of birth and gender) or legitimate interest (to understand the capability and performance of our members). No other personal data is shared outside of the UK.

We require these third parties to comply strictly with our instructions and the data protection legislation and we will make sure that appropriate controls are in place. We enter into contracts with all of our processors and regularly monitor their activities to ensure they are complying with Archery GB’s policies and procedures.

 

Users under 18

If you are under 18 and would like to get involved with Archery GB’s clubs and events, please ensure that your parent or guardian is happy for you to participate before giving us your personal data. When we collect personal data about a child or young person aged under 18, we will make it very clear as to the reasons for collecting this data and how it will be used.

 

Keeping Your Records

We keep records only for as long as required to operate the service in accordance with legal requirements and tax and accounting rules.
We may retain non-identifiable data for statistical purposes for longer than 6 years.
We may keep certain personal data of members for longer in order to confirm your identity, when you were a member of Archery GB and for how long. We need to do this to comply with the Companies Act 2006, which requires us to keep a register of members or to comply with the Limitation Act 1980 in the event of a claim against Archery GB.

Information relating to CRB, DBS and PVG checks will be retained for 6 months.

 

Where We May Store Your Information

The personal data that we collect from you will be transferred to, and stored at, Archery GB’s registered office and online systems.
By submitting your personal data, you agree to this transfer, storing, or processing.
Archery GB will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Notice.
Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

 

Your Rights

You have rights regarding your personal data, including the right to:

  • update or correct your personal data;
  • request deletion of your personal data;
  • object to profiling or the processing of your personal data;
  • request the transfer of your personal data to a third party;
  • request restriction of processing of your personal data;

  • request access to the personal data we hold about you.

You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO), the UK regulator for data protection issues (www.ico.org.uk). We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.

This mailbox is monitored on a daily basis, and acknowledgements will be sent on the next working day following an email being received. Archery GB will try to respond to all data protection-related enquiries within the relevant statutory timeframes.
