Registering tasters, have-a-goes, and beginners' courses

The online process will allow clubs to quickly register these experiences using the membership portal. There is also an optional feature to promote to the general public, supporting the Open Active initiative that opens up more opportunities to showcase our fabulous sport.

Clubs can enter additional information which will feed a map on our Start Archery website, allowing members of the public to find a have-a-Go or beginner's course in their area (just like we do with Start Archery Week) – and the data will be freely available to developers and other companies who add events to apps, websites and other places to showcase the opportunities available to the general public.

The registration process will allow us to capture where experiences are taking place and the potential number of people shooting. This will provide us with an opportunity to have live insight into
the needs and demands for the sport, improve our internal processes and procedures for supporting clubs and coaches, and gain accurate insight that can support future funding applications.

How to register an event

We expect the majority of clubs to be able to complete the process quickly – less than 5 minutes! The process is open all year round. Events can be registered at any time, but preferably at least 12 hours beforehand. To register an experience, you must be registered on the online Membership Portal for your club, County or Region. Secretaries can nominate additional club members to have administration access to share the workload - please contact Membership Services if you need help with this. 

Here are some step-by-step instructions: 

  1. Enter the start and end dates – this may be the same date for a have-a-go, or a few weeks difference for a beginner’s course.


  2. Select the event type demonstration, have-a-go, taster session or beginner’s course. Where it asks about accessibility, it's to show if your event can cater for disabled persons and
    those with additional needs.


    If you need to enter an additional venue for your event, you will need to fill out all the address details on the following screen: 


  3. If you wish to promote your sessions you can do so, both on the Archery GB website and through the OpenActive initiative. Confirm you are happy to do this, and if not select No and skip to the confirmation screen. Find out more about Open Active here.


  4. You will only see this step if you clicked "Yes" on Step 3 - if you clicked "No", go straight on to Step 5.

    To help to promote your event further, we'd like you to add some additional information to help members of the public find your sessions.


  5. The booking contact information will be seen by the general public, so only provide information you are comfortable sharing and make sure you have permission before sharing names, email address, and phone numbers of other people. 


  6. The next screen, Event Description, is a system screen. You do not need to enter or amend any text here - just click "Next". 


  7. The final screen asks you to confirm that all the information you've entered is all correct. 


  8. On completion, the club's primary contact will receive an email confirming that the event has been registered.

 

Frequently asked questions about registering events 

Where is the Members Portal?

The login page is here

Please login to your personal membership record, then choose to view the Club/County/Region you have access to. If you are in your personal record, you can also switch into your Club/County/Regional record by selecting the name from the drop-down menu on the left-hand side of the screen.

Do you have to register every venue?

Most events will take place at the club, so you should have already registered your range. For other events you must provide the full postal address. Demonstration or have-a-goes do not need be entered as a range under range registration (unless you use it more than three times in a year), but we will need to know the address of the event.

Remember you must follow the Code of Conduct and conduct a risk assessment for any event. 

What if we don’t register an event?

If an event is not registered with us then the insurance may not be valid. That would be a consideration for the insurers. While most events are issue-free, it takes just a few minutes to register your event, so why take the risk?

We registered an event but it's cancelled – what now?

Drop an email to Membership Services with the details of the event and they'll get that cancelled for you.

Cancelling events will not contact the participants, though, so you must remember to do that if you have people booked on.

Is there a cost?

No – registration is free. There is also no cost for events that are published via Open Data/Open Active.
